This session strips back the chaos to look at the full volunteer journey\, from first contact to long-term engagement\, and asks the hard questions about whether our systems actually support the relationships we’re trying to build. We’ll challenge assumptions\, share what’s working elsewhere\, and leave with practical ideas for doing things differently -not just better admin\, but genuinely stronger volunteer communities. \nCovering the complete volunteer journey – from recruitment and onboarding through to retention and recognition – we will examine where the gaps and friction points actually lie. We’ll explore how you can shift from transactional management to building genuine volunteer communities\, including practical approaches to strengthening relationships and creating a sense of belonging. \nYou’ll also look at your underlying systems and processes: what’s fit for purpose\, what needs binning\, and how to redesign volunteer management that actually works for volunteers and staff alike. By the end of the session\, you will have fresh ideas to support your volunteers\, refresh your volunteer journey and simplify your processes. You’ll also take away some tools that you can use with your teams to enhance and streamline your processes. \nThis event will cover:\n\nNew ideas and creative approaches to approaching the volunteer experience in their organisation.\nHow to improve the volunteer journey in your organisation by focusing on opportunities to connect.\nHow to map and streamline processes to improve volunteer services for both volunteers and managers.\nViewing volunteering as community building rather than management\, and understanding the link between volunteers and fundraising.\nThe role learning can play for volunteers.\n\nWho is this event for?\nThis event is suitable for people in the following types of roles: \n\nOperational – focused on the day-to-day execution of the volunteer program\, managing the immediate needs of volunteers.\nManagement or Strategic – overseeing multiple programs\, managing staff (paid or unpaid)\, and having budgetary and strategic input into the program’s direction.\nDirector or Senior Leadership – setting the vision\, strategy\, and policy for volunteering across the entire organisation.\n\nSession overview\n\nThe role of emotions\nTouchpoint mapping\nSystems and process streamlining\nThe role of learning\nBarriers to volunteering and how community building can overcome this\nDiscussion in small groups on Emotions\, Learning and Commitment and how we can all make changes within our own organisations.\n\nAbout the speakers\nJenny Raschbauer – Founder\, Social Sector Support\nJenny started volunteering as a child and has volunteered or worked with volunteers for the past 30 years. She has recruited and trained 2 volunteer teams from scratch\, led a team of 120 and indirectly supported volunteers through a wide range of organisations. Jenny delivered volunteer management training both regionally for the National Trust\, and for Derbyshire Voluntary Action ensuring that delivery was tailored to the audience\, grass-roots groups and charities in the case of the latter. Jenny launched Social Sector Support in 2025. \nKatie Wilson – Community Development Worker\, Rushmoor Voluntary Services\nKatie Wilson is a passionate professional with nearly two decades of experience in the voluntary sector. Since 2006\, she has worked with a range of organisations—including the National Trust\, Cranleigh Arts Centre\, and Sensory Services by Sight for Surrey—gaining deep insight into the power of volunteer engagement. We’ll explore how the cards were developed and how you might use them in your own organisations. \nWe will also be sharing a new resource hub we are starting to develop for the network\, and as always there will be time to meet and connect with others. \nEveryone is welcome\, including those who haven’t attended before and those who aren’t members of AVM\, although booking is essential as places are limited by the venue capacity. DESCRIPTION:Thursday 14 May 2026 | 1pm to 2pm | Online via Zoom\nFree for AVM Members\nMove\, restore\, reset and take action with an hour of calm for volunteer managers \nTo mark Mental Health Awareness Week 2026\, with this year’s theme of ‘Action’\, this practical session will focus on simple things you can do to release stress and tension held in the mind and body. \nAcross the hour you’ll explore gentle Qigong (Chi Kung) joint-opening\, mindful movement\, breathing practices and a guided meditation designed with busy volunteer managers and leaders in mind. \nYou’ll leave with a mini ‘calm toolkit’ of short practices you can use before difficult conversations\, after challenging meetings\, at the beginning or the end of a long day or whenever you need some calm. \nThis event will cover:\n\nHow to use grounding and sensory awareness to arrive fully in the present moment and create psychological distance from work pressures.\nSimple Qigong joint-opening and flowing movements to ease shoulder\, neck and back tension while seated or standing at your desk.\nAn easy‑to‑remember breathing sequence to settle the nervous system and support focus.\nThe opportunity to try some Qigong “meditation in motion” to connect breath\, body and gentle movement.\nA guided meditation to help cultivate a calm mind and body.\n\nYou do not need any previous experience of Qigong\, mindfulness or meditation to take part. \nSession overview\n1pm – Arrive and Ground\nA guided grounding practice using the senses and simple body tapping to arrive in the present moment and release the “work day” from your system. \n1.10pm – Breath for Balance\nA short\, structured breathing practice to calm the mind and support emotional balance\, plus tips on using it before or after challenging situations. \n1.20pm – Gentle Qigong Joint Opening\nSoft\, accessible movements to open the joints of the shoulders\, spine and hips\, ease neck and upper back tension and connect breath with movement. All movements can be done standing or seated. \n1.30pm – Meditation in Motion\nA brief\, gentle seated or standing “meditation in motion” to link awareness\, breath and slow movement\, preparing the body and mind for stillness. \n1.40pm – Meditation\nA guided Qigong Cun Si (healing visualisation) meditation practice to promote health and groundedness. \nAbout the facilitator\nVicky Peake is an experienced and qualified Qigong/ Chi Kung teacher and has enjoyed teaching Qigong\, mindfulness and meditation in a range of settings since 2004. Vicky is also AVM’s Member Engagement and Events Officer having joined AVM in 2023 and has over 30 years’ experience in the third sector\, including in volunteer leadership\, service development\, fundraising and fundraising coaching.
